Bookkeeper cost eliminated

A full-service restaurant with locations in Rockville Centre and Oceanside, NY was running its back-office operations entirely on manual processes. The general manager, earning $120K/year working six days a week, was personally spending 8 to 10 hours every week on payroll reporting, liquor inventory management, and expense reconciliation. A part-time bookkeeper was brought in three days a week at $100/day to handle the books, adding roughly $15,600/year in contractor costs. On top of that, the seasonal menu, which rotates frequently, was being updated through a slow, error-prone manual process involving reformatting documents from scratch each time.

I mapped the full workflow, identified the highest-cost bottlenecks, and rebuilt the entire back-office operation using AI tooling and automated pipelines. Payroll reporting was streamlined into an automated weekly process. Liquor inventory moved from manual shelf counts and spreadsheet entry to a tracked system with variance flagging. Expense tracking was consolidated and automated. Menu updates, previously a multi-hour formatting task, were reduced to a guided AI-assisted process that could turn around a seasonal change in under 30 minutes.

The result: the GM reclaimed the equivalent of a full workday every week, the bookkeeper contract was eliminated, and the restaurant recovered approximately $35,000 per year in combined labor costs, while running tighter operationally than before.

Very happy customer

A small business owner with no existing digital infrastructure needed to go from zero to fully operational, with systems that could actually run without constant manual intervention. The gap was significant: no website, no online payment capability, no way to track inventory, no consistent social media presence, and no process for managing inbound business inquiries beyond a personal inbox.

I built and launched the full digital stack from the ground up. The website was designed and deployed using AI-assisted tooling. Payment processing was integrated directly into the site. An inventory management system was set up to track stock levels with automated low-inventory alerts. Social media posting was put on an automated scheduling cadence so the business maintained a consistent presence without daily manual effort. Finally, an inbound request ticketing system was implemented to organize and triage new business inquiries, replacing an overflowing inbox with a structured queue.

The site has since generated over $100,000 in revenue for the business, and the automated systems behind it save the owner roughly 10 hours of manual work every week. What was once several hours a day of administrative overhead is now a largely self-running operation that surfaces the right information at the right time.
